Office Manager — Full Time Position

General Summary

Texans Care for Children is a statewide, non-profit, non-partisan, multi-issue children's policy organization. We develop policy solutions, produce research, and engage Texas community leaders to educate policymakers, the media, and the public about what works to improve the well-being of Texas children and families.  The Office Manager is responsible for the smooth operation of back-office processes that support the Texans Care for Children team and ensures organizational effectiveness, efficiency and safety. This position is a lynchpin for the team and a confident reliable thought partner for the operations and administrative teams to create processes and procedures to keep our team on track. The Office Manager will be supervised by the Deputy Director and work closely with the CEO and leadership team. The ideal candidate will have strong experience in HR, accounting, and nonprofit operations and have a passion for our mission to improve the lives of Texas children and families.

  • Oversee the guest experience at the organization ensuring a welcoming environment in-person, email and by phone;

  • Oversee accounts payable and receivables with regular reporting to the Deputy Director, CEO, and Board President;

  • Process donations and generate acknowledgements in coordination with the Development Coordinator;

  • Oversee payroll and submission of tax payments/forms as required by state and federal guidelines;

  • Maintain up-to-date organizational filings/paperwork associated with county, state, and federal authorities;

  • Oversee and manage electronic and paper files in accordance with the organization’s accounting procedures to support the annual audit;

  • Build organizational annual budget, in partnership with the Deputy Director, and regularly track operational expense data;

  • Monitor and manage employee benefits including retirement fund, health insurance, paid leave, and other benefits;

  • Support hiring processes by maintaining job descriptions, posting open positions, accepting applications, and providing support for interviews, offers, and onboarding;

  • Serve as the main point of contact for our building landlord, phone and internet providers, ensuring open communication as issues arise;

  • Provide administrative support for the Board of Directors including planning meetings/calls, note-taking, and records retention;

  • Support the policy and development teams in executing special events;

  • Serving as the liaison between staff and tech support to ensure all office technology is in working order and meeting the needs of our team;

  • Manage general office functions including maintaining appearance of common areas, handling correspondence, and overseeing supplies and equipment to ensure a safe, secure and supportive working environment.

Preferred Qualifications

  • Commitment to Texans Care for Children’s mission to improve the lives of Texas children and families

  • Bachelor's Degree in business with three years of experience OR equivalent experience (preferred but NOT required)

  • Knowledge of HR, accounting, data and administrative management practices and procedures

  • Knowledge of clerical practices and procedures

  • Knowledge of business and management principles

  • Prior experience with office/facility management (lease, leasehold improvements, office equipment/technology, furniture, etc.)

  • Computer skills and knowledge of Google suite and Microsoft Office
